Program Assistant

Position:   Full-Time Program Assistant

Summary: The Program Assistant is responsible for a variety of needs of Leadership Buffalo.  This job will require a schedule of five full days a week, total of 40 hours Monday through Friday with some evenings and weekend hours occasionally.   These functions include but are not limited to the following:




  • Maintaining Prospect and LB Data Base (ACT, Mail Chimp and website)
  • Point person for LBE Program
  • Processing Membership Renewals
  • Assist with Application Process
  • General Administrative Duties as necessary for programs 
  • Reception / Phones
  • Assist with CEO’s scheduling
  • Support with Alumni Events 

Administrative – back up on:

  • Board Meeting – attendance, take minutes



Support for programs:­­

  • Class Experience (CE) / Rising Leaders (RL) 
    • Prepare all materials for transport for the day sessions.
    • Assisting Program Director arranging potential speakers and locations for programs – assisting program director.
    • Attend and staff the Opening and Closing Retreats. 
  • Youth Leadership (YL)
    • Back up staff for the YL program.
  • Leadership Buffalo Essentials (LBE)
    • Working with LB team in arranging potential sites, speakers for the LBE program.  
    • Attending LBE day sessions, being the point person for the day including introducing speakers, traveling to sites on busses with cohorts, conducting end of day reflections.

Alumni and other miscellaneous

  • Attend all Class Chair Meetings
  • Attend and staff all Leadership Buffalo Fund Raising Events (Values Awards, Golf, and Bowling)
  • Attend all LB alumni events.
  • Support / staff LB’s trainings (Rising Leaders and Public Events)



Associates degree required; Bachelor’s Degree preferred.

Three or more years’ experience in a similar or relevant role.

Experience working with a variety of ages and experience levels- youths to business leaders;

Proficient with Microsoft Office programs

Excellent written and verbal communication skills

Administrative capabilities

Public speaking experience and proficiency

Strategic and creative thinking ability

Flexible schedule – some early morning and evenings required
